These Terms and Conditions explain how appointments, payments, and cancellations work with The Notary Doula. We review your itemized quote and applicable terms with you before collecting payment.

Services and appointment requests

The Notary Doula offers mobile and remote online notary services, loan signing support, apostille coordination, and related document services. Availability depends on the document, location, scheduling, and applicable requirements.

Inquiries and quotes are free. An inquiry does not reserve an appointment. We confirm your service details and provide an itemized quote before requesting payment.

Booking by phone and service authorization

Call us to discuss your document needs and appointment location. We will review your itemized quote, reservation payment, and cancellation terms with you before collecting payment, and document your agreement in your booking record.

Your service authorization may be signed digitally before your appointment or on paper when we arrive, before service begins. Please let us know if you need large print or would like the form read aloud.

For urgent appointments, we review the quote and cancellation terms before accepting the booking or departing. You may sign the paper authorization upon arrival.

Your document and signing details

Please tell us what document you are bringing, how many people need to sign, the appointment location, and any instructions you have received about witnesses or signing. Each signer must be available to participate and meet the identification requirements for the requested service.

You are responsible for obtaining the document you wish to use and deciding what it should contain. The Notary Doula does not select, draft, or advise you about legal documents.

We may decline or stop a notarization when the requirements for the notarial act cannot be met. We cannot promise that a receiving institution will accept a document or that notarization will establish its legal validity.

Fees and payment

Your quote separately identifies applicable notarial fees, travel fees, mobile convenience fees, printing, additional ordinary copies, client-requested document retrieval, and other agreed services. Notarial fees are charged in accordance with Texas law.

A $35 reservation payment secures your mobile appointment and is applied to your quoted total. It is not an additional charge or a separate convenience fee.

The remaining balance is due when service is completed unless we agree otherwise in writing. Any changes to the quoted services or charges will be explained and agreed upon before additional work is performed.

Mobile convenience fees

The convenience fee is based on the notice provided when booking:

• 24 hours or more: No convenience fee.

• At least 2 hours but less than 24 hours: $35.

• Less than 2 hours: $50.

Only one convenience fee applies per appointment. Travel and notarial fees are itemized separately. Short-notice appointments are subject to availability.

Travel fees

• Up to 10 miles: $35.

• Over 10–20 miles: $50.

• Over 20–30 miles: $65.

• Over 30–40 miles: $85.

Additional mileage is available upon request and quoted before booking.

Printing and client-requested forms

Printing a client-requested document is $2 per page. Additional ordinary copies are $1 per page.

If you bring your prepared document and request no printing or copies, those charges do not apply. Printing and copying charges apply only to pages we produce.

If you ask us to obtain a specific form that you have identified, we will quote that work before providing it.

Changes, cancellations, and missed appointments

Please contact us as soon as possible if your appointment details change. Rescheduling is subject to availability; please contact us before the cancellation deadline.

Appointments booked at least four hours in advance

Cancel at least four hours before your scheduled appointment for a full refund of your $35 reservation payment. For a later cancellation or no-show, the $35 reservation payment is retained for the time reserved.

Appointments booked less than four hours in advance

You may cancel within 15 minutes of booking for a full reservation refund, provided the notary has not departed. Once either the 15-minute period has ended or the notary has departed, the $35 reservation payment is retained for a cancellation or no-show.

Other charges when an appointment is canceled

The retained $35 reservation payment is the cancellation charge; an additional travel or convenience fee is not charged for the canceled appointment. Any prepaid travel or convenience fees are refunded.

Separate work you requested and we completed before cancellation, such as printing or obtaining a specifically identified form, remains payable at the agreed price and will be itemized.

If The Notary Doula cancels

You receive a full refund of payments made for the canceled appointment. You may choose to arrange a new appointment, subject to availability.

If the appointment cannot proceed

If a required signer, identification, document, or participant is unavailable, we will explain why service cannot proceed and provide an itemized accounting of any applicable cancellation charge and separately authorized work completed.

No notarial fee is charged for an act that was not performed. Any prepaid fee for an unperformed notarial act will be refunded.

Remote online notarization

Remote online notarization uses a technology platform with identity verification and a live audio and video session. We confirm whether this service is available for your requested document before booking.

A remote session may be stopped if the required identification, technology, or notarial conditions cannot be met. Charges, payment requirements, and cancellation terms specific to your remote appointment will be provided before payment. Mobile travel and mobile convenience fees do not apply to a fully remote appointment.

Apostille coordination

The Notary Doula provides quoted administrative support with apostille requests. The Texas Secretary of State, not The Notary Doula, issues Texas apostilles.

Government fees, delivery charges, and our coordination fee will be identified separately when applicable. Processing times and acceptance are determined by the issuing and receiving authorities.

Payment and cancellation terms for coordination work, including any third-party costs, will be explained before you authorize the work.

Planning and professional advice

The Notary Doula provides notary and related document services, not legal, medical, tax, or financial advice.
