The Notary Doula respects your privacy. This policy explains what information we collect through our website and services, how we use it, and when it may be shared.

Information We Collect

When you contact us by phone, email, text message, website form, or in person, we may collect your name, contact information, appointment location, scheduling preferences, requested service, and information needed to prepare for your appointment.

We maintain booking notes, itemized quotes, records of your agreement to appointment and cancellation terms, signed service authorizations, and payment and receipt records.

During a notarization, we review identification and record information required for our notarial records. Depending on the service, we may also receive documents you ask us to print, handle, or submit.

If someone coordinates an appointment on your behalf, we may receive your contact information and appointment details from that person.

Our website and service providers may also collect technical information, such as browser type, device information, pages visited, and information needed to process a booking or payment.

Paper and Electronic Authorizations

Service authorizations may be completed on paper or electronically through SignWell. When you use SignWell, your signed form and associated electronic signing records are processed through that provider.

You may request a paper authorization, large print, or assistance having the form read aloud. Electronic signing is not required to book an in-person mobile appointment.

How We Use Information

We use information to:

• Respond to inquiries and provide itemized quotes.

• Schedule, prepare for, and perform requested services.

• Document service authorizations and agreed appointment terms.

• Process payments, issue receipts, and handle refunds.

• Send appointment communications.

• Maintain required notarial and business records.

• Address service concerns and meet legal obligations.

• Operate and maintain our website.

We do not sell your personal information. We do not use documents you provide for purposes unrelated to your requested service, except as needed to maintain required records or comply with legal obligations.

If you request a connection to The Doula Experience or another service within The PreNeed Doula ecosystem, we will obtain your permission before sharing your information for that referral.

When Information May Be Shared

We may share information as needed with providers that help us operate our website, manage client and booking records, process payments, deliver communications, collect electronic signatures, or store records. These include SignWell when you choose electronic signing. Information handled through these services is also subject to the providers’ applicable privacy policies.

We may share documents or information with a receiving organization, government office, delivery provider, or other party when necessary to complete a service you have authorized.

If a family member, caregiver, or other person helps coordinate your appointment, we will confirm what appointment information you authorize us to share. Arranging or paying for an appointment does not, by itself, authorize access to all of your documents or information.

We may also disclose information when required by law or in response to a valid legal request.

Notarial Records

Texas notarial records are subject to legal recordkeeping and public-access requirements. Information entered in a required notary record may be disclosed in accordance with those requirements.

For this reason, we cannot promise that every entry in a notarial record will remain confidential. These requirements are separate from our handling of ordinary booking notes and service authorizations.

Payments

Payment information is handled through the payment method or provider used for your transaction. We maintain business records needed to document charges, payments, balances, and refunds.

Please do not send full payment card numbers, card security codes, or account passwords through our general website contact form, email, or text message. Contact us for payment instructions.

Cookies and Website Data

Our website or its providers may use cookies and similar technologies to operate the site and understand how visitors use it.

You can manage cookies through your browser settings and any cookie controls available on the website. Disabling some cookies may affect website features.

Security and Retention

We take reasonable steps to safeguard paper and electronic information in our care. No website, electronic transmission, or storage system can be guaranteed completely secure.

We retain information for as long as needed to provide services, maintain required notarial and business records, resolve disputes, and meet legal obligations. Retention periods may differ by record type.

Your Choices

You may contact us to ask about information we hold, request a correction, request deletion, or ask us to stop optional communications.

Some information cannot be changed or deleted when we are required to preserve it as a notarial or business record. We may need to verify your identity before responding to a request involving personal information.

You may tell us your preferred method for appointment communications. We may still need to contact you about an active appointment, payment, or requested service.

Please do not submit sensitive documents, identification images, Social Security numbers, or payment card details through our general website contact form. Contact us first so we can explain what information is needed and how to provide it.

Children’s Privacy

Our website is intended for adults seeking information about our services. We do not knowingly collect personal information from children under 13 through the website.

If you believe a child under 13 has submitted personal information through our website, please contact us so we can review and address it.

Outside Websites

Our website may link to other organizations, payment services, signing services, or resources. Their privacy practices are governed by their own policies. Please review those policies before providing information through another website or service.

Changes to This Policy

We may update this policy as our services or information practices change. The effective date above will be revised when we post an update.
